What is the best (easiest) way to make sure tasks for paying maintenance fees are generated when a new patent is issued?

AppColl will auto-generate all 3 maintenance fees for U.S. patents as soon as an issue date is provided for the matter either manually or via XML imports from Private Pair.

Hi Brad – we stand corrected. The only way the maintenance fees are generated is when the issue date for the matter changes. Currently, there aren’t any tasks that populate the issue date, so it must be done manually or with an XML import.

We could add a special task type that can populate the issue date field when an ISSUE.NTF is received. However, in order for this to work correctly, the date the ISSUE.NTF is mailed from the PTO must be the actual issue date. In other words, if the PTO emails the ISSUE.NTF on 9/17/15 we have to assume this is the actual NOA date. If this is not the case, the issue date and the maintenance fee tasks we would generate would be off. Does this make sense?

So just to clarify, if I get an email from the USPTO that has the document name "ISSUE.NTF"

Will email be sufficient to automatically inserting the issue data of a new patent and adding in the maintenance fee tasks?

Yes. I had the feeling this would have to be a manually task because the ISSUE.NTF is often mailed weeks ahead of the actual issue date.

As a follow up. I am worried I forgot to add in some issue dates for previously issued patents. Is there a way to get a large "data dump" from the USPTO to upload into AppColl or should this only be done on an application specific basis?

Unfortunately Private Pair does not provide an interface to mass download full application data at the customer number level. Thus, it is still a matter by matter download. We keep hoping this will change, but we have no control over if and when this ever happens.
