Delete a Client and all it's Matters

There are times when you may want to delete a client and all its matters from your account. Here are the steps for doing so. Please note that all invoices and billing items associated with the client must also be deleted.

  1. In the Matters module, filter for all matters for the client you wish to remove.
  2. Once you have the result set, check the top of the page to see if the number of results is greater than the number of Items/Page in the Change View section of the left column. If this is the case, either increase the number of Items/Page to encompass all items or do Step 3 for each page.
  3. Click the uppermost checkbox on the left of the table to highlight all the matters. Click the Delete button in the Make Changes section of the left column. 
  4. If you have invoices or billing items associated with the client, you also must remove them.
    1. In the Billing Module, filter for all billing items for the client to be removed.
    2. Check the top of the page to see if the number of results is greater than the number of Items/Page in the Change View section of the left column. If this is the case, either increase the number of Items/Page to encompass all items or do Step c for each page.
    3. Click the uppermost checkbox on the left of the table to highlight all the rows. Click the Delete button in the Make Changes section of the left column.
    4. Click on the Manage Invoices link in the Navigate section of the left column.
    5. Filter for all invoices for the client to be removed.
    6. Check the top of the page to see if the number of results is greater than the number of Items/Page in the Change View section of the left column. If this is the case, either increase the number of Items/Page to encompass all items or do Step g for each page.
    7. Click the uppermost checkbox on the left of the table to highlight all the invoices. Click the Delete button in the Make Changes section of the left column. Please Note: All invoices must have a status of "Pending" in order to be deleted.
  5. In the Contacts module, filter for all contacts for the client being removed.
  6. Check the top of the page to see if the number of results is greater than the number of Items/Page in the Change View section of the left column. If this is the case, either increase the number of Items/Page to encompass all items or do Step 7 for each page.
  7. Click the uppermost checkbox on the left of the table to highlight all the contacts. Click the Delete button in the Make Changes section of the left column.
  8. If AppColl provides a message that some contacts cannot be deleted, please contact us for assistance.
  9. Find the client contact record that has a Role of Client or Client/solo.
  10. Highlight the row and click the Delete button in the Make Changes section of the left column.

At this point, everything associated with the client has been deleted. All these items are now in the AppColl trash bin. If you wish to permanently remove everything, click the Trash link in the upper right corner and delete all the items.
