The AI Form Fields page is used to configure AI functionality within AppColl. When activated, a form field will be used as a template to create AI prompts, which will be sent to the selected AI service. The prompt result can be used anywhere that normal form fields can be used. Some examples include task type files, form letters, and email notifications. Note that AI form fields will take longer to process as they utilize external AI Large Language Models.

For example, AI generated content can be included in an email notification as shown below:

The process for creating AI Form Fields in AppColl is as follows: 

Build and Test an AI Form Fields Template

Access the AI Form Fields page by hovering over the AI module and selecting AI Form Fields. 

1. On the AI Form Fields page, click the Add button. Note that any previously created AI form field templates will appear in the grid on the right, along with any AppColl provided templates (indicated by the AppColl logo on the left). 

2. Enter a useful and unique Form Field Name to describe the form fields template.
3. Enter the AI Prompt text (i.e. the question you would like the AI model to answer).
4. Select which AI provider and model to send the prompt to from the AI Configuration options.
5. Click the Edit button under AppColl Context to choose which fields or files should be sent with the prompt. The information and files specified will be used by the AI model as context to answer the question in the prompt. 

6. Upon clicking Edit the Add AI Prompt window opens. The context categories at the top default to the Matter Fields category. Checking the checkbox next to a field name will cause that field to be sent to the AI service when the prompt is executed. Select any of the fields you wish to include. 
7. For easy selection, preset field groupings appear below the list of available fields. Clicking a preset will check all related fields. Clicking Claims & Abstract will enable the transfer of Abstract and Claims.
8. Clicking Dates & Numbers will enable the transfer of ApplicationNum, PublicationNum, PatentNum, ConfirmationNum, PriorityDate, FilingDate, AllowanceDate, PublicationDate, IssueDate, AbandonedDate, and RevivedDate.
9. Click the Task Fields category to select from task fields.
10. Click the Files category. The options for including files with AI form fields include each default matter directory and task files. Checking a checkbox in the files section will include all files in the directory when sending the prompt.
11. When you are finished, click Done. 

12. Enter AI Prompt Guidance. This text is sent to the model to provide guidance for how the model should behave when answering the prompt question Example: “You are an expert patent attorney drafting responses to USPTO office actions. You have access to tools to retrieve patent documents based on their application or patent numbers. Use these tools to gather necessary information to draft comprehensive and accurate responses. Ensure that your responses adhere to formal USPTO guidelines and formats.”
13. The Test AI Prompt section on the right-hand side of the popup can be used to send the specified prompt and selected context and guidance to the AI  model to preview the results. Enter any Matter or Task information.
14. Click the Start Test button to complete the test.
15. Click the Arrows to expand the results of the test into a new window. 
16. Repeat the steps above until you are satisfied with the results. When you are finished, click the Add button. 

17. Click the Save button to save the newly created AI Form Field.

Edit an Existing AI Form Field

1. To edit a previously created AI Form Field, select it from the AI Form Fields page. Note that AppColl provided templates will have the AppColl icon. 

2. The Edit AI Form Field window appears. Adjust any fields as needed. You may also wish to retest the prompt. Click the Save As New button to save the updated AI Form Field template. 
3. Click the Ok button to save any changes to the existing AI Form Field template.

4. Any changes made or new AI Form Field templates created will not be submitted until one of the Save or Apply Changes buttons are clicked back on the AI Form Fields page. 

Create or Update Form Letter

Either you will need to create a form letter with the {AI.Prompt…} placeholder or add the placeholder to an existing form letter for the prompt response input. Follow the instructions here to create a form letter.

Test a Form Letter using AI Generated Content

From the AI Form Fields page, you can conveniently test any form letters that use AI Form Fields to see the generated content for a specified task or matter.

1. To start, click the Test Form Letter button.

2. The Generate Form Letter popup appears. Select a Matter.
3. Select a Task (if necessary).
4. Select the AI Form Letter you wish to populate.
5. Click Ok. Note: Please be patient and stay on the current page while the form letter generates. The form letter with the AI generate content will be downloaded via your browser.
