There are two ways to attach a Form Letter to a Task in AppColl. You can attach a Form Letter to a Task from the Tasks Module, or by selecting the Task within a Matter Details page. A prerequisite for completing this attachment is to first create a form letter template and upload a form letter into AppColl.
Attach a Form Letter to a Task from the Tasks Module
- Go to the Tasks module.
- Select the Task(s) for which you would like to attach a form letter.
- Click the Add Document/Form Letter button.
- Click the Form letter radio button.
- Select from the options to populate the form letter by clicking the Dropdown button.
- The client folder will default as the Save to Folder.
- Click the Arrow button(s) in the Save to Folder section to drill into and select the folder where you wish to save the form letter.
- Click the Add Form button.
- You will receive a confirmation message. The populated form will now be stored in the specified location in the Files module and linked to the specified tasks. If more than one task was selected, each task will have its own copy of the form (populated with information for that task), with the task ID prepended to the form name. Click the Close button.
- To view the attachment within the Tasks module, add a filter that includes the Document column.
Attach a Form Letter to a Task from the Matter Details
- Go to the Matters module.
- Click on the Matter for which you would like to attach a form letter.
- Select the Task for which you would like to add the form letter from the bottom of the Matter Details page.
- Click the Add button in the Documents section.
- Click the Form letter radio button.
- Select from the options to populate the form letter by clicking the Dropdown button.
- The client folder will default as the Save to Folder.
- Click the Arrow button(s) in the Save to Folder section to drill into and select the folder where you wish to save the form letter.
- Click the Add Form button.
- You will now see the form added to the Documents section. You can Click the form to download it if you wish.
- Click the Save button.
