When a task is generated, an email notification can be sent to relevant parties, such as attorneys, paralegals, or specific email addresses. This ensures timely awareness of deadlines and required actions.
- Begin by hovering over the Tasks module.
- Select the Manage Task Types menu option.
- Select the Row you wish to work with.
- Click the Add button in the Notifications section of the page.
- Select whom you would like to be notified from the Notify option dropdown. You may wish to select Task Owner, Attorney for Matter, Partner, Paralegal, or contributor for Matter (depending on your notification needs). Ensure that Email is selected in the via option.
- Choose from the Show From options in the dropdown for the appropriate selection. Select from the options to Cc matter intake email address (if available) and Attach any documents linked to the task as needed.
- Set up the Message Subject. If you are using a template, skip to step 9. You can use field substitutions (merge codes) to personalize the email dynamically. Example: “Attention: Matter {Matter.AttorneyRef} | {Matter.ApplicatioNum} received a non-final office action on {Task.RefDate}”
- Enter the Message Body. Example: “A response without an extension of time fee is due on {Task.RefDate(+3m)}” The office action mail date (e.g. RefDate) plus three months ensures deadlines are clearly stated. The Application number and attorney reference personalize the email for clarity.
- If you are using a template instead of entering the Message Subject and Body manually, select a template from the Load Template dropdown to auto-populate the subject and body of the message.
- Select from the Send options to configure the notification timing. If you select the When task is Opened option, the email will be sent as soon as the task is created. Alternatively, you may wish to select when a task is Completed (e.g. send the confirmation once the issue fee is paid). You may also wish to send a notification before the task due date, with reminders until the task is closed. You can also send when a file is attached, which is used when receiving e-Office Action emails and document downloads from the Patent Center when enabled.
- Click the Ok button.
- Click the Apply Changes button to confirm that your newly added notification was created successfully.
