We're excited to announce a new set of features and updates that are now live in AppColl! These enhancements are designed to improve efficiency and give you more control over your IP management workflow.
Here's a breakdown of the new features and what they do:
1. Workflow & Task Automation
- Email notifications delayed until documents are downloaded and XML data is processed — A new option allows you to configure task notifications so they are only sent after all files have been downloaded from Patent Center and the associated XML data has been fully processed. This prevents notifications, such as new matter emails, from going out before key fields like the Examiner have been populated.
- "While" conditions on specific "When" conditions in task types — Account admins can now attach a "While" condition directly to a specific "When" condition within a task type. Previously, "While" conditions could only be applied to the end of a set of trigger conditions. This gives admins finer-grained control over exactly when tasks are triggered, making complex task type logic easier to build and manage.
- Background processing for invention saves and flow actions — Saving inventions and applying flow actions now happens in the background, allowing you to continue working without waiting. A progress indicator displays while changes are being applied, and a notification confirms when the process is complete.
- Task type name changes now reflected in matter history — When a task type's name is changed and existing tasks are automatically updated, that change is now recorded in the matter's history — not just the task type history. This makes it easier to track what changed and when, especially when filtering matter history by a specific task.
2. Billing & Invoicing
- Improved client-specific billing templates — The client field on billing template detail pages is now searchable. When a client is selected, only templates associated with that client are displayed, making it faster to find and apply the right template.
- Set all new billing items as DoNotInvoice — A new setting prevents recently added billing items from being automatically included in invoices that are currently in the review process. This gives you greater control over what gets billed and when — particularly useful for firms managing multi-stage invoice workflows.
- Auto-inferred start and cutoff dates in LEDES files — When generating LEDES files for an invoice, AppColl now automatically infers the start date from the earliest billing item date and the cutoff date from the latest. This reduces manual entry and helps ensure your LEDES output is accurate.
- LEDES 1998BI available in bulk invoice zip downloads — LEDES 1998BI is now available as a format option when bulk downloading invoices as a zip file, in addition to being available from the invoice details screen.
- QuickBooks: Flexible client/company name formatting — You can now choose how client and company names are formatted when sending them to QuickBooks. Options include combinations of nickname, company name, and client code, similar to the date formatting options already available in Settings.
- QuickBooks: Timekeeper settings as QuickBooks Class — Users can now include timekeeper information as a QuickBooks Class when syncing billing data, providing better categorization and reporting within QuickBooks.
- QuickBooks: Added option to sync the Invoice's Client contact instead of the Invoice's Bill To contact
- QuickBooks: Non-QuickBooks admins can now sync without reconnecting every time
- Net 120 added as a payment term — A new payment term of Net 120 is now available in invoicing, giving firms more flexibility when setting payment expectations with clients.
3. Matter Management & Data Quality
- EPO API now imports applicant data during matter updates — When updating European matters, AppColl now retrieves applicant data from the EPO API and adds all applicants to the matter record, regardless of whether they are also listed as inventors.
- Exact name matching during matter import — The import process now performs exact name matching when identifying contacts. Previously, if two contacts shared a name (such as one with a middle initial and one without), the system would select one arbitrarily. The correct contact is now matched precisely based on the name in the import file.
- Multi-country duplicate: control over Foreign Associate field — A new checkbox in the multi-country duplicate feature lets you choose whether the Foreign Associate field is carried over to newly created matters. The option is enabled by default to preserve existing behavior.
- PatentTermAdjustment now a filterable field — The PatentTermAdjustment field can now be added as a filterable column in the Matters module, making it easier to search, sort, and report on matters based on patent term adjustment data.
- "LastUpdatedBy" column in the Matters module — You can now add a column to the Matters module that displays the user who last updated a matter. This makes it easier to track activity across your team — especially helpful when managing paralegals or multiple contributors working within the same matters.
- ProductDescriptions column now available for Corporate accounts — Corporate account users can now access the full ProductDescriptions column and multi-select product/technology/keyword functionality in the Matters module, bringing parity with non-corporate accounts.
- Employee ID added to inventor search — An employee ID field has been added to the inventor search, making it easier to distinguish between multiple inventors who share the same name.
4. Forms & Official Integrations
- Support for new USPTO forms — AppColl has added support for the following USPTO forms: PTO/SB/24B, PTO/SB/84, PTO/SB/445, PTO/SB/469, and an updated RCE Transmittal form SB30 (now valid through 11/30/2027). The PTOL-85 Part B – Fee(s) Transmittal form has also been updated to correctly populate the examiner, art unit, attorney, and law firm fields.
- AIA/34 form auto-populates "First Named Inventor" and "For" fields — When generating the AIA/34 form, AppColl will now automatically populate the "First Named Inventor" and "For" fields using the inventor name and matter title stored in the account.
5. UI & Usability
- Improved progress tracker UI — The progress tracker has been updated to notify users when module data has changed. If a page has been modified, a refresh icon will turn red and display relevant information in a tooltip. Pages will also auto-reload when the user has not interacted with them, keeping your view current without manual refreshing.
- Admin alert for unrecognized customer numbers — Account admins will now receive an email notification if a customer number is added to a client or company contact record that does not exist in Settings. This helps catch data mismatches early and keeps your account configuration consistent.
- "Clear All" option in the notification window — A "Clear All" button is now available in the notification window, allowing users to dismiss all notifications at once rather than clearing them individually.
- CSV import now requires all column headers — The CSV import process will now flag any missing column headers before the import proceeds, preventing silent failures that previously left users without any error message.
- Auto-hide History/Discussion pane in Invention Disclosures — The History/Discussion pane is now hidden by default when opening an Invention Disclosure, keeping the view clean and uncluttered. Users can open the pane manually at any time.
- Expanded Customer Number text field — The Customer Number field has been expanded in the Settings page so users can view all of their customer numbers at once without the field truncating the display.
- PDF files with incorrect MIME types now display correctly — AppColl can now recognize and correctly display PDF files that were saved or transmitted with an incorrect MIME type, preventing errors when viewing attachments.
